Stallholder Terms and Conditions

General

1.1 Stalls are non-transferable. We only provide stall space – stallholders will need to provide their own unit, gazebo, tables and equipment etc. We are on grass (not paving) all gazebos must be pegged down and correctly weighted.

1.2 The organisers decisions are final with regard to stall acceptance and layout. Whilst every effort will be made to meet the requirements of the stall holder, LCS cannot guarantee a particular position within the event space.

1.3 Set-up instructions will be issued to stallholders at least 10 days prior to the event and we ask that these instructions are strictly adhered to.

1.4 The event is officially open Sunday 21st June 2026. 10am – 4pm.

1.5 We expect all stalls to be set up to a high standard.  Anyone selling illegal, counterfeit or inappropriate goods will be removed from site and the relevant authorities informed.

1.6 LCS regrets that refunds cannot be given for bookings cancelled by stallholders. 

1.7 If LCS has to cancel due to exceptional circumstances, including but not limited to an act of terrorism, epidemic, pandemic or other public health concern, adverse weather conditions, an unforeseeable act of God or restrictions imposed by any regulatory, health and safety, local or government authority – no stall holder fees can be refunded. The decision on any refunds made or declined subject to this clause will be at the sole discretion of LCS.

1.8 Stands must not be dismantled or moved prior to the closing time of the event. If you do sell out of stock please leave your stand tidy displaying promotional material for your business with a notice stating ‘Sold Out’. Failure to comply will be noted and future applications may be refused. No vehicles will be allowed on site until after the event has closed at 4.00 pm to dismantle your pitch.

1.9 No vehicles are permitted on site at the event during public opening times – 10.00 am – 4.00 pm. Stall holders need to request permission to have a vehicle on site as part of the stand space from the organisers. Permission is at the organiser’s discretion. Trader Vehicles. can be parked free of charge in the public car parking adjacent to the event.

1.10 Stallholders need to provide their own refrigeration and any other equipment necessary for the safe handling of all chilled goods. LCS DOES NOT provide hand wash facilities, refrigeration, gas supply or electricity – you will need to provide your own and ensure that they are in good working order, with any relevant inspection/certification documents up to date and to hand at the event. Clearly the organisers reserve the right to amend this in order to comply with any Government or Local Authority advice.

1.11 Stall holders are reminded that it is their responsibility to ensure they comply with the law in all aspects of food hygiene, health and safety, employment, licensing, trading standards and any other relevant legislation.

1.12 Every stall holder is responsible for carrying out a risk assessment of their stand and to ensure that all potential risks are minimised; hazards should be identified and protective/ preventative measures implemented. A risk assessment template is attached.

1.13 Stallholders must only sell what is stated on their booking form.

1.14 Exclusivity: Clarification will be given on whether the vendor has sole rights to sell a specific commodity.

1.15 Waste Management: Stallholders are responsible for removing their own rubbish from the site. Food vendors must provide suitable waste receptacles / bins for their customers to use.

1.16 Generators. The use of your own generator is permitted. Knowing where to position generators, cables, and distribution units is crucial. Poor placement can lead to hazards, equipment failures, or disruptions throughout the day. Generators should always be placed away from footpaths, queueing areas, and stall entrances to reduce trip hazards and avoid crowding. Placing power units where they won’t cause obstructions helps prevent accidents involving customers or staff. Cables should be routed safely, ideally overhead or covered with cable protectors to reduce the risk of tripping. Generators produce fumes and noise, which can affect nearby stalls, especially those selling food or running customer-facing services. Positioning generators in well-ventilated areas, away from customer zones, helps reduce the build-up of exhaust fumes and minimises noise disruption. Low-noise or silent generators can also be used to support a more pleasant trading environment, but the location still matters for comfort and safety.

Social Media

2.1 We encourage stallholders to advertise on all of their social media platforms as much as possible before the event date. You can access LCS graphics on our website or if you prefer to use your own style this is acceptable as well. You are encouraged to post on the event page in Facebook and to share this event to your page.  Please note that posts need to be accepted by LCS so will not show immediately. On the day of the event please post photos / videos to your page and tag @smallstreetmarkets #smallstreetmarkets We have a tik tok account aimed at visitors to our event. We may ask you to take part in videos for our use.  You are always able to opt out of these, just let us know that you do not wish to take part.

2.2 Any videos or photographs taken by the LCS team remain the property of LCSand may only be used to advertise LCS events. Please keep us informed of your social media handles so that we can tag you when we advertise your business. If there is a particular image you would like us to use on our social media for your company you must ensure that it is sent to us when you return this agreement.  If you do not send us an image we may select one from your social pages. On all posts relating to our event please ensure you tag @smallstreetmarkets and use the hashtag #smallstreetmarkets

Public Liability Insurance

3.1 Stallholders are responsible for the insurance of their own property and must have current Public Liability Insurance to the value of £2 million at the time of the event. They must also hold Product and Employer Liability Insurance where applicable.

3.2 Stallholders must give details of their insurance cover as part of the booking procedure and have certificates with them for inspection at the event. Failure to do so may lead to your removal from the event.

3.3 Stallholders shall not hold LCS responsible for any injury, loss, liability, damage, theft or destruction of any exhibit, goods, property or equipment.

Health and Safety

4.1 All stalls must meet Health & Safety Standards in line with the Health & Safety at Work Act 1974. Health and Safety officials may inspect the site during the event. We are on grass (not paving) all gazebos must be pegged down and correctly weighted.

4.2 Stalls may be inspected by Environmental Health, Trading Standards Officers, Lancashire Fire and Rescue Service or any other professional body.

4.3 Stalls who use powered appliances must supply the relevant safety certificates as well as fire extinguishers and adequate barriers around the powered equipment. Stalls cooking food – 4kg dry powder or 4 litres of foam. If deep fat frying a flame failure device is recommended and a suitable fire blanket. Stalls with electrical equipment – 4kg dry powder or Carbon Dioxide CO2

4.4 All food businesses must provide details of the local Authority their business is registered with their Food Hygiene certificate where appropriate, which is available for inspection on the day.

4.5 Stallholders using gas cylinders are expected to provide suitable storage facilities. All cylinders must be installed prior to the opening of the event and must not be transported during the event.

4.6 Stallholders are responsible for ensuring that they conform to GasSafe Regulations.

4.7 All electrical equipment must be PAT tested with a current sticker/certificate with the equipment.

Behaviour

5.1 LCS want to create an enjoyable environment for our team members, stallholders and visitors.  We need to ensure that we all work together in a supportive, respectful environment. Abusive language and behaviour will not be tolerated, whether through social media, email or in person.  If abusive behaviour is witnessed, reported or known to have taken place there will be an investigation into the situation which will result in action being taken against the perpetrator.
